Turn service-job notes into a client reply draft.

Use a writing assistant to organize what you know, flag what you do not, and prepare a reply for your review.

Use with your preferred writing assistantUses a fictional example

Before you begin

For this example, we will use fictional notes from a plumbing visit. The notes say there is a leak under a kitchen sink and the fitting needs checking. They do not say what caused the leak, what repair is needed, what it will cost, or when work can happen.

Protect private details.

Use only the details needed to write the reply. Do not paste a client's name, phone number, address, access code, payment details, or private conversation into an AI tool. Replace identifying details with labels such as [client] or [job].

1. Start with the sample notes

FICTIONAL JOB NOTES

Tap leaking under kitchen sink. Checked cupboard. Need to check fitting. No quote given. No return visit booked.

2. Copy the prompt

The prompt asks for a short draft, a list of known facts, and questions that need your answer. It also tells the tool not to invent a price, work scope, schedule, or commitment.

Help me prepare a client reply draft from service-job notes.

Use only the facts in the notes. Do not invent a cause, diagnosis, price, work scope, appointment, timeline, warranty, or commitment. If a detail is missing, leave it out of the draft and put it under "Questions for me".

Return:
1. A brief, polite client reply draft.
2. Known facts used in the draft.
3. Questions I should answer before sending.

Keep the tone clear and calm. Do not say the draft has been sent. I will check every detail and decide whether to send it.

Fictional service-job notes:
Tap leaking under kitchen sink. Checked cupboard. Need to check fitting. No quote given. No return visit booked.

If copying does not work, select the prompt text and copy it yourself. You can also use your browser's Print command to save or print this guide.

3. Review the result carefully

Read the draft against your notes and your own knowledge. Fix errors, remove anything you cannot confirm, and fill in only details you have checked. The AI tool may get things wrong or phrase them awkwardly.

  • Does every statement match the job and what you actually know?
  • Does the draft avoid guessing at the cause or promising a repair?
  • Are any price, scope, or timing details confirmed by you?
  • Have you removed personal details you do not need to share?
  • Does the final message sound like something you are comfortable sending?
You decide what happens next.

This prompt creates text only. Review the reply yourself and send it through your usual process only if it is accurate and appropriate.
